Brief Summary of Work for this Position

This Administrative Associate position is responsible for assisting with administration of the student advising process including records and communication to students, ongoing website maintenance and enhancements, support for the graduate program, coordination of faculty and others around department initiatives and deadlines, maintenance and optimization of cloud-based platforms such as Teams and SharePoint, purchasing and receipting, and direct assistance on special events and projects.

This position will report directly to the Chairperson of the Department to help provide a wide variety of services to faculty and students and will work on a team with another Administrative position. This position will coordinate with the Dean's office and other offices on campus. This position will ensure that all work performed complies with university policy and procedures and meets university and college-imposed deadlines.

Minimum Education and Experience Requirements

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Preferred education, professional skills and experience
  • Excellent communication skills and the ability to multi-task
  • Prior relevant experience and proficiency in Microsoft Office Suite and associated programs (including Teams, OneDrive, SharePoint, and Excel)
  • Familiarity with working in higher education is a plus
  • Website and external communication/marketing experience
  • Significant knowledge of office or work unit procedures, methods, and practices
  • Ability to use correct grammar, vocabulary, spelling, and office terminology to compose and/or proofread correspondence, reports, and other materials
  • Ability to independently record, compile, summarize, and perform basic analysis of narrative and numerical materials
  • Ability to learn office processes and procedures and independently apply this knowledge in problem-solving and responding to questions and inquiries
  • Ability to use judgment in coordinating and monitoring office procedures and workflow, including monitoring deadlines
  • Ability to use courtesy and tact in performing public contact and communication duties that may be sensitive in nature
  • Ability to provide excellent customer service
  • Ability to communicate well with and work in liaison with a variety of the university population and departments
  • Knowledge of Banner, SSRS, Cascade, uShop, EMS, Keystone, and Touchnet
